Track Your Certifications with Google Sheets
What This Does
A Google Sheets tracker automatically highlights certifications that are expiring soon — so you never discover your CDL renewal or first aid card lapsed when you need it for a job.
Before You Start
- You have a Google account (free)
- Google Sheets is accessible on your phone or computer
- You have a list of your certifications and their expiration dates
Steps
1. Open a new Google Sheet
Go to sheets.google.com or tap the Google Sheets app. Click Blank spreadsheet. Name it "My Certifications."
2. Set up the columns
In Row 1, type these headers in cells A through E:
- A1: Certification
- B1: Issued Date
- C1: Expiration Date
- D1: Days Until Expiration
- E1: Status
3. Enter your certifications
In rows 2 and below, fill in your certifications. Examples for lineworkers:
- CDL Class A
- First Aid / CPR
- Bucket Truck / Aerial Lift
- Confined Space Entry
- Lineman Journeyman License (if applicable in your state)
- OSHA 10/30 (if required)
- Rubber Goods Testing (company-specific)
4. Add the "Days Until Expiration" formula
Click cell D2. Type this formula and press Enter:
=C2-TODAY()
This calculates how many days remain until the expiration date in column C. Copy this formula down for all your certifications (click D2, then drag the blue corner dot down).
5. Set up color alerts
Select the D column cells with your days remaining. Click Format → Conditional formatting. Add three rules:
- Red (expire soon/already expired): When cell is less than 30
- Yellow (renew soon): When cell is between 30 and 60
- Green (good standing): When cell is greater than 60
Now your tracker automatically color-codes everything. Red means act now.
6. Set up Status column (optional but useful)
In E2, type: =IF(D2<0,"EXPIRED",IF(D2<30,"URGENT",IF(D2<60,"RENEW SOON","Current")))
This gives you plain text labels alongside the colors.
Real Example
Scenario: You enter your certifications and discover your First Aid card expires in 18 days — you had no idea.

The Aerial Lift cert is already expired — that's a problem that could pull you off a job or an OSHA violation if discovered during an inspection.
Tips
- Bookmark the spreadsheet on your phone's home screen so you can check it quickly
- Review it every Monday morning as part of your pre-week routine — takes 30 seconds
- Share it with your foreman if your utility tracks crew certifications informally — this makes you the organized one
- Set a Google Calendar reminder to renew certs at 60 days out
Tool interfaces change — if conditional formatting has moved, look for Format → Conditional formatting in the menu bar.
